Creating a New Contact

You can create new contacts from inside a contact group or from the All Contacts page. The minimum required to create a new contact is a single phone number.

Use the Add a New Contact button and enter the contact’s first name, last name, and at least one phone number. You can enter multiple phone numbers by separating them with comma or a return. Once your contact is created you can add addresses, emails, and custom fields.

Contact Fields

Contacts can contain all the information you need to make calls, send texts, and manage your work.

Contact fields include:

  • First name
  • Last name
  • Contact ID1: a unique name or number for your contact
  • Contact 1D2: a unique name or number for your contact
  • Phone number: up to 15
  • Phone number type: such as mobile or landline
  • Phone number alias: such as home, work, or mobile
  • Addresses: up to five
  • Emails: up to five
  • Custom fields: up to five, including custom field name

Contact ID fields

A contact record contains two contact identification fields, ID1 and ID2. These are custom input fields your can use for any unique id you want to assign to the contact to track them across different systems in your business. The fields can contain any combination of letters and number you want to use.

When you import a batch search result, the contact ID1 field will be automatically populated with the Record ID data from your search result.

You can change a contact ID to anything you wish and you can include one when you import a list.

Contact ID examples

Many BellesLink customer use contact IDs to help the sort and search their contacts.

  • People: the street address or a randomly generated ID number
  • Properties: APN, property record numbers
  • Asset recovery: vehicle ID number or year, make, and model

Phone numbers and making calls

You can call the phone numbers you add to a contact from right inside the contact record. Use the blue call button to the right of the number to start a call.

When you import or enter a contact phone number you can include a number type, such as mobile or landline, and a number alias, such as home, work, or spouse. As you make calls and discover which numbers are best, you can set the number status to either good, disconnected, or wrong number.

While you’re making a call you can save a note, set the number status, or add a tag. During the call you have access to all call controls, including mute, hold, record, keypad, add a call, and transfer. Calling from a contact is as easy as calling from your mobile phone.

All call activity, outgoing and incoming, is recorded in the Activity tab in the right side panel.

Sending a text

You can send a text to any number in a contact. Use the blue text button to the right of the number. If the number cannot accept text messages, you’ll be notified.

If you need more control of the text conversation to block the number or close the conversation, you can use Open In Messages to open the text conversation in the Messages screen and have access to all text features.

Do Not Contact

If you need to prevent a contact from being called or texted, from anywhere inside the BellesLink system, use the Do Not Contact button. The contact will still be visible in your groups and all contacts list, but you will not be able to call or text any number included in the contact record. You can also release the hold by clicking the Do Not Contact button again.

Closing a contact

You can close contacts you no longer need. Closing a contact will remove it from all groups and permanently delete all its associated data from your account. Close contacts will no longer be available inside your account and cannot be recovered.
